The Procurement of IT Software And Technologies

By Darren Folkes

This is because there are a range of factors involved, which can affect the procurement solutions and the implementation of the software and equipment. Some of the factors that are involved include issues such as budget or financial constraints, compatibility with the existing hardware, and so on.In short, a company would need to have certain procedures that comply with procurement software and procurement solutions in place to avoid confusion and resultant problems of functionality.

As the person obtaining the equipment and software, you are referred to as the requestor. As the requestor you will be required to complete what is known as a request form for the equipment and software that you require. The form will outline certain specific product information, necessary system requirements, and sundry other information as it pertains to your order. When the request form has been duly completed by the requestor it is then sent on to the vendor's own IT department to be fulfilled.Whenever there are issues that pertain to functionality and compatibility, these will be made known to you prior to the items in question being procured.

A requestor can send a request form for new procurement procurement software or procurement solutions to the IT department of the vendor either by hand or via email. If a support list of software is used it invariably means that you will be spared having to complete further forms. However, when new software is required, it can mean that another form will have to be filled in so as to obtain the additional software that is needed.

Sometimes new software and equipment has to be checked to ensure that it is compatible with the existing system. In some cases an evaluation or checklist form is therefore required and this will also need to be completed. The onus for testing the new hardware with the existing system rests on the shoulders of the requestor and their IT staff. When an issue comes up, with regards to the compatibility of the software and equipment and the current system, the new software and equipment obviously cannot be used.

As we can see, the new IT software and equipment that is procured will be handled by you, the requestor, and/or your IT department. It is through the requestor and IT department that the new software and equipment will be installed and deemed fully operational.Upon completion of the set up, once the software and hardware is installed properly, the IT department then completes the checklist and the order form is closed off.Remember that whenever new IT equipment and software is installed and implemented, additional staff training is usually required. The training of the personnel usually includes operational procedures and documentation, among other things, to ensure that they can work with the new equipment and software without mishaps.Training of the staff is essential to make sure that the procured software and equipment functions as it should with the existing system.
